Introduction to Our Terms & Conditions

Thank you for considering Bridal by for your special day.

Please take a moment to carefully read through our Terms & Conditions. By paying your deposit, you are confirming that you have read, understood, and agreed to these terms, thereby entering into a binding agreement with us.

It is your responsibility to review all details within the Terms & Conditions to ensure you understand our process and to avoid any potential misunderstandings.

Your booking will be confirmed and your date officially secured once we have received both the completed documentation (including Bridal Enquiry Form/SAVE THE DATE ) your deposit and proof of deposit.

By proceeding, you are engaging the services of Bridal by, and we accept your booking in accordance with these Terms & Conditions and the details outlined. Together, these form the full agreement between us ("the Agreement").

1. DEPOSITS

1a. Deposit Requirements

To secure your wedding date, a non-refundable and non-transferable deposit is required.

Deposit amounts vary depending on the year of your booking and the artist selected.

2025 Bookings

  • With Ruth or Lian:
  • £95 for makeup only or hair only
  • £120 for makeup & hair package
  • With a Senior Artist:
  • £80 for makeup only or hair only
  • £100 for makeup & hair package

2026 Bookings

  • With Ruth or Lian:
  • £100 for makeup only or hair only
  • £150 for makeup & hair package
  • With a Senior Artist:
  • £90 for makeup only or hair only
  • £110 for makeup & hair package

Note: The above deposits relate to the 1 bride only trial required and reflect the service level booked (makeup only, hair only, or both).

1b. Payment & Confirmation

  • Deposits must be paid within 48 hours of receiving your "Next Steps" email.
  • Proof of payment must be provided via email or message.
  • Your booking is not confirmed until:
  • We have received the full deposit,
  • You've sent proof of payment, and
  • You’ve received an official confirmation email linking you with your artist.

Until then, your date remains unconfirmed and may be released or offered to other clients.

1c. Deposit Application

  • Your deposit will be deducted from your final balance.
  • It covers:
  • Administrative time
  • Initial Client correspondence
  • 1 Bride only Trial appointment and consultation.

1d. Cancellations & Changes

  • Deposits are non-refundable under all circumstances, including:
  • Client cancellations
  • Booking amendments
  • Date changes or rescheduling by the client
  • If you cancel your booking or change your wedding date, your deposit will be forfeited.

1e. Trial Alignment

The type of trial you receive will reflect the deposit you have paid:

  • Makeup Only (Pearl) = Makeup Trial
  • Hair Only (Gold) = Hair Trial
  • Makeup & Hair (Diamond) = Dual Makeup & Hair Trial

1f. Important Notes

  • Your booking is not secure until:
  • The correct deposit is paid in full
  • You’ve notified us of the payment
  • You’ve confirmed that you have read and accepted these Terms & Conditions
  • Services may be withdrawn without notice if these conditions are not met.

2. CONTRACT

2a.

Due to the private nature of our business, our contract and communication is solely with you, the bride, regardless of who is paying our fee or any third parties (e.g., groom, parents, wedding planner) acting on your behalf. We will only discuss the details of the booking with the bride, as we require a mutual agreement with her for all key decisions and choices.

2b.

The bride is fully responsible for all payments, not individuals within the bridal party or any third parties. Any verbal discussions must be confirmed via email to avoid misunderstandings.

2c.

It is the responsibility of the client (the bride) to understand, agree to, and uphold all booking conditions. This includes:

  • Active and timely communication
  • Meeting all payment deadlines
  • Providing appropriate notice in the event of cancellation
  • Acknowledging and accepting the consequences of failing to comply with these Terms & Conditions

3. COMMUNICATION

3a.

All enquiries and communications are handled personally by the artists. To support this, we provide detailed information upfront via our website FAQs, emails, these Terms & Conditions, and bridal forms. This is designed to guide you through the process and clearly outline our policies, booking system, and pricing.

3b.

The most efficient and reliable way to manage your booking is through our email thread. Due to the high volume of messages we receive across multiple platforms (social media, WhatsApp, phone, text), messages sent outside of email can be missed or confused. Therefore, we kindly ask that all communication related to your booking be sent via email to avoid important details being overlooked.

3c.

Please note that some members of our team, including the lead artists, have dyslexia. We ask for your understanding and respect, as we may take extra time to respond to ensure clarity and accuracy. We prefer to reply to important emails when we can give them our full attention to avoid errors.

3d.

When we are working on makeup and hair appointments, our full attention is on the client in the chair. As such, we are often unable to respond to phone calls or messages during these times. We appreciate your patience and understanding — please allow up to seven days for a response. If you believe your email has been missed, feel free to send a polite follow-up.

3e.

We aim to reply to all emails within seven days, however during peak wedding seasons, responses may take slightly longer.

4. PAYMENTS

4a.

Acceptable forms of payment are bank transfer (BACS), cash, or PayPal.

  • Payments made in cash must be paid in full before any services are performed.
  • Payments via bank transfer must clear in full at least 14 days prior to your wedding date.
  • Payments via PayPal are subject to an administration fee and must also be made at least 14 days before the wedding date.

4b.

A final invoice, including a breakdown of the services booked, outstanding balances, and a suggested wedding morning schedule, will be sent to you after your trial appointment and prior to your wedding date.

4c.

No BACS or PayPal payments will be accepted on the wedding or event day. If third parties (e.g., family or friends) are contributing to your balance, this must be arranged and settled before the wedding day.

4d.

Services will not begin until full payment has been received. If paying in cash on the day, please have the exact amount ready in a sealed envelope and hand it to the lead artist on arrival. This helps avoid delays to application and discomfort on the wedding morning.

4e.

The total balance is the responsibility of you, the client, and must be paid upon arrival on the wedding morning (if not paid in advance).
All
payment queries or discussions must take place via email prior to the day. Prices are non-negotiable, and we will not enter into any discussion regarding payment with you or third parties on the wedding day.

4f.

We do not accept cheques under any circumstances.

4g.

Please do not send forward payments before receiving your final invoice.
Only your
initial deposit is required ahead of your trial.
Any unrequested payments made before your invoice is issued are
non-refundable and non-transferable.
Final numbers and services are confirmed after your trial, at which point a detailed morning schedule and any additional travel costs are included in your invoice. Early payments can lead to tracking issues and confusion, so we ask that you wait until your invoice is provided.

4h. BALANCE SCHEDULE

  • A non-refundable / non-transferable deposit is required to confirm your booking and is due prior to your trial.
  • 50% of your chosen package (minus your deposit) will be due after your trial, payable within 7-14 days after you have received your confirmation and invoice.
  • The remaining balance, including any additional costs (e.g., travel fees), must be paid 14 days before the wedding if paying via BACS or PayPal, or in cash on arrival, before services begin.

4i.

As proof of payment, please email a screenshot of any BACS or PayPal transfers, and always reference your wedding date in the payment details.

5. TRAVEL

5a.

Each bridal package includes up to 30 miles of travel (round trip).
We are happy to travel further, however, any additional mileage will incur a fee at the following rate:

  • £0.60 per mile for bookings in 2025 and 2026

5b.

Each package also includes up to 1 hour and 30 minutes of total travel time (45 minutes each way).
Additional travel time will be charged at the following rates:

  • 2025:
  • £25 per additional hour
  • £12.50 per additional 30 minutes
  • 2026:
  • £30 per additional hour
  • £15 per additional 30 minutes

5c.

Your package includes travel to one single preparation location (e.g. hotel, venue, or private home).
If the artist is required to
relocate to a second location, this will incur:

  • Additional mileage and travel time fees (as outlined above), and
  • A relocation fee to cover the time and disruption caused by packing, moving, and setting up equipment again.

Relocation fee rates:

  • £30 for 2025 bookings
  • £35 for 2026 bookings

This fee reflects the impact on timing, preparation flow, and the artist’s schedule.

5d.

For locations over 2 hours away, overnight accommodation may be required, at the client’s expense.
This will be discussed in advance, and arrangements must be made prior to the booking.

Approximate overnight stay costs:

  • £120 per night for 2025
  • £150 per night for 2026

6. LOCATION

6a.

It is the client’s responsibility to provide accurate and clear location details for the preparation venue.

6b.

If your location is rural or difficult to find, please send us additional directions or note visible landmarks to help guide us.
If your house name or number is
not easily visible in the dark, consider marking the location with balloons, signs, or lights to assist us in finding you easily.

6c.

If you're staying overnight in a large hotel, manor house, or stately home, please provide your exact room number or specific area within the venue.
Let reception know which room your bridal preparations will be taking place in, especially if there are multiple guests booked under the same surname for the wedding.

6d.

We cannot be held responsible for delays outside our control, including:

  • Weather conditions
  • Roadworks or diversions
  • Accidents
  • Acts of God
  • Sat-nav errors

If you're aware of any recent travel issues or risks near your location, please let us know in advance so we can plan accordingly and allow extra time.

6e.

If mobile reception is poor at your venue or home, please provide an alternative contact number or landline in case we need to reach you on the day.

6f.

If you're getting ready at a family home, it's helpful to send a photo of the house from the roadside, especially if the house number or name is not easily visible.

6g.

You may choose your preferred location for preparation, but there are essential setup requirements for our artists to work safely and efficiently:

  • A large, flat surface or table for makeup setup
  • Access to working electrical outlets
  • Good lighting (natural light is ideal) for both service quality and photography

A high chair or bar stool is recommended but not essential—please let us know if one cannot be provided

7. MULTIPLE PREPARATION LOCATIONS

7a.

Many venues have time restrictions on the use of bridal suites or dressing rooms and may not allow access until a specific time.
This can significantly limit the available preparation time and may not allow for a schedule to get everyone ready.

We strongly recommend that clients facing this issue consider either:

  • Choosing an alternative preparation location that allows earlier access, or
  • Discussing with us the option of adding an extra artist to help manage a tighter timeline.

We cannot take responsibility for delays caused by venue-imposed time restrictions that prevent a realistic and stress-free preparation schedule.

7b.

Having multiple preparation locations is not advised, as the process of setting up, packing down, and travelling between locations may lead to disruptions or delays for both you, your bridal party, and our team.

If you choose to prepare in more than one location, additional travel and time surcharges may apply as outlined in Section 5 (Travel).

7c.

Similarly, using multiple rooms within a single venue for preparations is not recommended. Moving between rooms (e.g. from a dressing room to a bridal suite) can interrupt the flow of service and cause delays.

We advise keeping one main preparation space and using the bridal suite only for final touch-ups, dressing, and photography, ensuring a clear, calm space and a beautiful backdrop for your wedding morning photos.

8. CLIENT OBLIGATIONS

8a.

Please ensure that the working environment is suitable and safe. This includes:

  • Adequate surface space for setup
  • Good natural lighting (where possible)
  • Access to working electrical outlets
  • Nearby hand-washing facilities

8b.

Please ensure that every member of your party is fully informed of the schedule and is ready and available for their allocated hair or makeup time.
Our team's arrival time will depend on your required "ready by" time.
To maintain a smooth and stress-free service, each client should be
ready to begin promptly at their scheduled time.

8c.

Before receiving services, each client must ensure they are:

  • On time and available for their slot
  • Makeup-free (clean skin)
  • Hair clean and completely dry

Failure to follow these guidelines may delay services or affect results.

8d.

We reserve the right to refuse service to any client displaying rude, offensive, threatening, or abusive behaviour, without refund. A respectful and professional environment must be maintained at all times.

8e.

The client (bride) agrees to fully co-operate with the artist, especially regarding decision-making related to the look and planning of the day. Open communication ensures we can deliver your desired outcome smoothly and on schedule.

9. ALLERGIES & CONTRAINDICATIONS

9a.
It is the client’s responsibility to inform the artist of any known allergies, sensitivities, or previous adverse reactions prior to any makeup application or hair styling.

9b.
For the health and safety of all clients and artists, we reserve the right to refuse service to anyone showing signs of contagious illness, including flu-like symptoms or a fever.

9c.
The following medical conditions may prevent or limit services being carried out safely:

  • Eye infections (including conjunctivitis)
  • Cold sores / facial herpes
  • Open wounds or weeping sores
  • Fungal infections (e.g., ringworm)
  • Warts or cystic acne
  • Severe sunburn or burns (including from waxing)
  • Eczema or psoriasis
  • Head lice (nits), scabies, or impetigo
  • Bruising, cuts, or any visible skin trauma
    If any of these are present, services may be adapted, postponed, or refused at the artist’s discretion.

9d.
If you have experienced any of the conditions listed above in the past, we recommend consulting your GP for advice on prevention, treatment, and management ahead of your appointment.

9e.
All tools, brushes, and products are sanitised thoroughly between each client to maintain strict hygiene standards. Please allow time for this where needed.

9f.
Clients must disclose any current skin or scalp conditions prior to application. Where necessary, a patch test may be offered to check for sensitivity. By proceeding with services, you agree to release the artist from liability for any adverse reactions. This includes allergic responses, discomfort, or any complications that may arise during or after the appointment.

9g.
We take great care in selecting high-quality products tailored to your skin and hair needs. However, we cannot guarantee individual results or the absence of reactions. Product performance, wear time, and sensitivity vary from person to person.

9h.
Before any application, we will consult with you about your skin type, known sensitivities, and product history. While we will do our best to recommend suitable options, we cannot guarantee any product will be completely reaction-free.

9i.
It is your responsibility to inform us in advance of any medical conditions, illnesses, disabilities, or pregnancies within your party that could affect or limit the application of makeup or hair styling. This allows us to tailor our approach and ensure everyone’s comfort and safety.

10. PHOTOGRAPHY, USE OF IMAGES & IMAGE COPYRIGHT

10a. Consent for Photography and Videography
By booking our services, you agree that photographs and/or videos taken before, during, or after your trial and/or Event day may be used for promotional purposes. This includes our website, social media platforms, and other marketing materials.

10b. Trial Session Documentation
During your trial, we may take photographs or short videos before, during, and after hair and makeup application. This helps ensure continuity and also gives you an idea of how your look will translate in photos and on camera.

10c. Team Participation in Photos
We’re happy for our team members to appear in behind-the-scenes or candid photos. If such images are shared publicly by you or other suppliers, we ask that proper credit is given to our Company.

10d. Crediting Our Work
If any of your suppliers (e.g., photographers, planners, stylists) use images featuring our work on their platforms, they must clearly credit our Company as the hair and/or makeup provider.

10e. Copyright Compliance
Suppliers offering similar services (e.g., makeup or hairstyling) who use our work without credit are in breach of copyright. We may request removal or proper attribution, and in cases of non-compliance, we reserve the right to pursue legal action.

10f. Timing of Public Posts
We will not share images that reveal key wedding day details—such as your dress or final look—until after your ceremony has taken place, typically later that day or the day after, unless another time is agreed upon in writing.

10g. Authentic Representation
All images featured on our website and social media platforms are genuine representations of our work. We do not use stock images or third-party visuals.

10h. Purpose of Photography Use
You acknowledge that any photos taken during your trial or Event day may be used to showcase real-life examples of our work to future clients via our online platforms.

10i. Image Requests and Photographer Credit
We may contact you or your photographer after the Event to request professional images for our portfolio. Any image shared by us will be properly credited to the original photographer.

10j. No Obligation to Provide Content
While we may document our work, we are under no obligation to provide you with photographs or video content. Our primary responsibility is delivering high-quality hair and makeup services. In some cases, capturing content may not be possible due to time constraints, absence during official proceedings, or respect for other vendors' contracts or venue policies.

10k. Image Selection Criteria
We reserve the right to select images that reflect the quality and aesthetic of our brand. This includes photos taken in good lighting, with professional equipment, and that portray our clients and work in a flattering, joyful, and professional manner.

10l. Opting Out of Image Use
If you do not agree to any part of Section 10, you must notify us in writing prior to your trial or Event day. We will respect your preferences and confirm receipt of your opt-out request.

11. DISCOUNTS

11a. Fixed, Fair Pricing
All prices are non-negotiable. We’ve set our rates to reflect the skill, experience, professionalism, and time involved in delivering a premium service.

11b. Equal Value for Every Client
We understand every wedding has its own budget, but we believe in fairness and transparency. To maintain price integrity and avoid devaluing our work, we do not offer selective discounts. All clients receive the same competitive, all-inclusive rates.

11c. Package Components Are Complimentary
Our packages may include additional touches such as brow shaping, lashes, or a trial session. These are included to elevate your final look. If any of these are not required or possible—such as last-minute bookings, international clients, or opting out of lashes—they do not warrant a price reduction.

11d. No Partial-Service Discounts
We do not offer partial services (e.g., eyes-only makeup). Professional makeup requires harmony and balance across the whole face to ensure a polished, cohesive result.

11e. No Discounts for Reduced Wedding Day Numbers
Once your numbers are confirmed—typically at the time of your trial and noted on your bridal form—your schedule and team allocation are arranged accordingly. Reducing numbers later does not result in a price adjustment.

12. PRICING & PAYMENTS

12a. Transparent Pricing
All pricing is clearly stated and, as mentioned in 11a, is non-negotiable.

12b. Flat Rate Based on Time and Services
Our pricing is based on the time required per person, the number of services, and the number of artists or assistants needed—not on hair length, styles, textures, or complexity. Whether it’s a natural or glam look, the same level of premium products and attention to detail applies.

12c. Price Validity at Time of Booking
The price applicable to your booking is the one current at the time you submit your completed ‘Save The Date’ form and pay the deposit. Initial enquiries do not lock in pricing, as prices and policies are subject to change.

12d. Changes to Your Booking
If you amend your package after booking (e.g., services added or rescheduled), a rebooking will be required. The pricing and policies in effect at the time of the amendment—not the original booking—will apply.

12e. Invoicing and Payment Terms
All fees must be paid by the Client according to the terms outlined in the invoice. Payment confirms the continuation of services.

12f. Annual Updates to Pricing and Packages
Our pricing structure and service packages are reviewed and updated annually. The most current details will always be available on our website.

12g. Late Payment Policy
If payment is not received by the due date stated on the invoice, we reserve the right to:
a) Charge interest on the outstanding balance, calculated daily at the statutory rate for late commercial payments.
b) Suspend all services until full payment (including interest) is received.

13. INTERNATIONAL & DESTINATION BOOKINGS

13a. Early International Bookings
We accept international and destination bookings up to
24 months in advance, earlier than our standard booking window, due to the additional planning required.
Please ensure your venue and wedding date are confirmed before securing your artist(s), to avoid scheduling conflicts and to allow for accurate planning.

13b. Travel & Accommodation Costs
All travel-related expenses for international or destination bookings are the
client’s responsibility. This includes but is not limited to:

  • Return flights
  • Baggage fees
  • Airport transfers
  • Visas, permits, and insurance
  • Local transportation and parking
  • Accommodation and taxes

If requested, we’re happy to assist in arranging travel logistics; however, all costs must be covered by the client and paid in full prior to the event.

For bookings outside a 15-mile radius of the artist’s base, additional travel charges will also apply.

13c. Payment of Additional Costs
After your trial, you’ll receive an invoice outlining any travel-related or additional fees associated with your international booking.
These must be paid in full at the time of confirmation to secure all arrangements.

13d. Force Majeure & Liability
We are not liable for delays, cancellations, or disruptions caused by events outside our control, including:

  • Natural disasters
  • Political unrest
  • Travel restrictions
  • Health emergencies (e.g. pandemics)
  • Airline issues or extreme weather

We also accept no responsibility for loss, damage, or injury during travel or at the destination.
To minimise disruption, we recommend artists
arrive by midday the day before the event to allow for flight delays and ensure they are well-rested and prepared.

13e. Flight Cost Variability
All flight quotes are
approximate. Airlines often do not release exact costs or schedules more than 12–18 months in advance.
Final costs may vary, and the client agrees to cover any
additional charges when flights are booked.

13f. Artist Accommodation Requirements
Accommodation must meet basic standards of
safety, cleanliness, and comfort.
Artists may share a room with each other, but
dormitories, hostels, or shared group accommodations are not acceptable.
We prefer accommodations with convenient access to the wedding venue and local amenities such as shops, restaurants, and transport links.

13g. Preparation Space Requirements
The client must provide a
clean, well-lit space suitable for professional hair and makeup application. This includes:

  • A tall chair or barstool for makeup
  • A low-back chair for hair styling
  • Access to power outlets and mirrors

For remote venues, the client must also provide refreshments and meals to support artist(s) working long hours in isolated locations.

13h. Travel Documents & Visas
The client is responsible for securing all necessary
visas, permits, and travel documentation for the artist(s).
We cannot be held liable for delays, cancellations, or additional costs due to visa or documentation issues.
All required documents should be obtained
well in advance of the event.

13i. Travel Disruptions & Rescheduling
If travel disruptions or force majeure events (e.g. natural disasters, government restrictions, pandemics) prevent fulfilment of the booking, we will collaborate with you to
reschedule or cancel, subject to our cancellation terms.
The client understands that
additional fees may apply in these cases.

13j. Governing Law & Jurisdiction
All international and destination bookings are governed by the
laws of the United Kingdom.
Any disputes arising from these terms will fall under the
exclusive jurisdiction of UK courts.

13k. Cancellations & Refunds
Should you need to cancel or reschedule due to travel bans or force majeure, our
standard cancellation policy applies.
Refunds will only be considered for costs not yet incurred or where expenses are recoverable.

13l. Additional Travel-Related Costs
If changes are made to the itinerary or new requirements arise, the client agrees to reimburse any
extra expenses. This may include:

  • Excess baggage
  • Ground transport changes
  • Additional accommodation nights
  • Visa amendments or reapplications
  • Other reasonable travel costs incurred to fulfil the service

14. ADDITIONAL EXPENSES

14a. Travel-Related Charges
Any additional travel-related costs such as
congestion charges, tolls, parking fees, or similar expenses incurred by the artist(s) will be charged to the client and must be paid in full either in advance or within the agreed payment schedule.

14b. Holiday Surcharge (Christmas – New Year)
Bookings scheduled between
Christmas Eve and New Year’s Day will incur a seasonal surcharge:

  • £120 for dates in 2025
  • £150 for dates in 2026

This fee reflects the premium demand and personal sacrifice required during this period.

14c. Unsociable Hours Fee
If your event schedule requires artists to
depart from their base before 5:00 AM, an early start surcharge will apply:

  • £50 per artist, per hour for 2025
  • £55 per artist, per hour for 2026

To avoid unsociable hour fees or to accommodate tight schedules, you may opt to:

  • Add additional assistants (subject to availability), or
  • Provide overnight accommodation for the team.

14d. London Surcharge
For weddings or events taking place within
London, an additional location surcharge will apply:

  • £120 for 2025
  • £150 for 2026

This accounts for extended travel times, congestion, parking restrictions, and higher operating costs in the city.

14e. Overnight Accommodation
If the artist(s) are required to
stay overnight due to early start times, location distance, or logistical necessity, accommodation costs must be covered by the client. This may include:

  • Hotel or serviced accommodation
  • Basic subsistence (e.g. meals, local transport)

Accommodation should be arranged in advance and meet reasonable standards of comfort and safety (see Section 13f). If the client does not arrange this directly, the agency will arrange suitable accommodation and charge back the cost, up to the following limits:

  • Up to £120 per night for 2025
  • Up to £150 per night for 2026

15. TIMINGS

15. Client Obligations Regarding Schedule and Timing

15a. Please ensure that you provide a detailed overview of your bridal party’s requirements during your trial appointment. This enables us to prepare a tailored schedule and timeline that meets your exact needs.

15b. You are responsible for ensuring that all members of your bridal party are fully informed of the schedule and are ready and available at their allocated appointment times. Our team’s arrival time will be based on your requested “ready by” time.

15c. On the wedding day, please ensure that the entire bridal party is present and prepared to begin services promptly at the scheduled time. Delays may impact the overall timeline.

15d. It is your responsibility to inform us of any potential challenges or time restrictions prior to the wedding day, including any client-specific needs or scheduling conflicts that may affect the agreed timeline.

15e. All makeup and hair services for multiple clients must be performed consecutively at the same location, without gaps between appointments. All clients must be present at their scheduled times to avoid breach of contract.

15f. Please provide a suitable, clean, and spacious work area with sufficient lighting and electrical outlets for setting up makeup and hair stations.

15g. Additional makeup services outside of the agreed contract may be subject to approval by the artist and could incur extra charges. Please book accordingly based on the estimated 45 to 90 minutes per person service duration.

15h. Changes to the booking cannot be made once the artist(s) have arrived on-site.

15i. Early start times prior to 5:00 AM require an unsociable hours fee (£50 per artist per hour for 2025 and £55 per artist per hour for 2026). Consider booking additional assistants to accommodate early schedules or large parties.

15j. If you require touch-ups later in the day, please note that our hourly rate (£55 per hour) will apply from the time the last appointment concludes. Intermittent services during the day are not permitted.

16. TRIALS

16. Client Obligations Regarding Trials

16a. Your package includes one bridal consultation and trial. Additional bridal or bridal party trials will incur fees as outlined on our website. Please allocate sufficient time—up to 2 hours for makeup-only trials, and up to 4 hours for combined hair and makeup trials—to ensure a thorough and detailed session.

16b. While we strive to create a long-lasting look, we cannot guarantee the longevity of the makeup or hairstyle.

16c. During your trial, we document your look through notes, face charts, photos, and video. Please be aware that product substitutions may be necessary if original items become unavailable. Variations in skin texture, color, and hair condition (due to washing, sleeping habits, or environmental factors) may also affect the final look. Despite these variables, we will make every effort to recreate your desired style as accurately as possible.

16d. Trials will not begin without a fully completed and detailed bridal form submitted in advance of your appointment.

16e. At the end of your trial, you will be asked to sign the face chart, acknowledging receipt of the trial service, acceptance of terms and conditions, and your approval to proceed with the booking.

16f. Trial appointments are limited to 2 hours for makeup-only and 4 hours for makeup and hair. Any additional time will be charged at £50 per hour for 2025 and £55 per hour for 2026, which will be added to your final balance.

16g. If you choose not to proceed with your booking after the trial, the trial fee and associated paperwork costs will be deducted from your deposit. Additional charges may apply if your trial exceeds the allotted time.

16h. To help us prepare for your trial, please provide recent, unfiltered photographs of each member of the bridal party requiring services, clearly identifying each individual.

16i. Additional trials beyond the included package will incur fees as listed on our website.

16j. If you are unwell, forget your trial, or fail to attend, please contact your artist immediately to reschedule. Cancellations with less than 48 hours’ notice will incur a charge. If your trial cannot be completed due to lateness and scheduling constraints, it will be considered a cancelled trial.

16k. For health and safety reasons, application will be refused if you appear unwell at the time of your appointment.

16l. Occasionally, last-minute wedding bookings may require us to reschedule your trial appointment. We appreciate your understanding as we strive to support brides affected by unforeseen circumstances.

17. DATA

17. Client Obligations Regarding Personal Data

17a. Your personal details will be securely stored by our team solely for the purpose of managing your wedding booking. All information collected through our website and during your event will remain strictly confidential. We will not sell, rent, disclose, or share your data without your explicit consent, and it will only be used in ways you have agreed to.

17b. Our artist(s) will maintain discretion regarding your event arrangements wherever reasonably possible. However, you acknowledge that complete confidentiality cannot be guaranteed, as we must communicate with our team, your bridal party, and potentially other vendors to ensure a smooth and coordinated service.

18. CANCELLATIONS

18a. Termination Rights
We, the artists, reserve the right to terminate this contract if any terms are not complied with. In such cases, the contract will be void, and all payments made are non-refundable.

18b. Trial Cancellation
You may cancel a trial at any time. However, cancellations made with less than 48 hours’ notice will incur a charge at the current additional trial rate, which will be added to your final invoice.

18c. Cancellation Fees
To protect potential clients and our artists, cancellations of bookings by you will incur fees as follows:

  • Cancellation 16 weeks (112 days) or more before your wedding date: 25% of the total package cost.
  • Cancellation 12 weeks (84 days) prior to your wedding date: 50% of the total package cost.
  • Cancellation 8 weeks (56 days) or less prior to your wedding date: 100% of the total package cost.

18d. Notice of Cancellation/Rescheduling
You are responsible for ensuring we receive your cancellation or rescheduling notice in writing, sent directly from you via email or through the contact form on our website. Notifications from third parties are not accepted.

18e. Unnotified Cancellation
If your wedding is cancelled without prior notification to us, we will invoice you according to the cancellation fees outlined in 18c.

18f. Cancellation of Individual Services
Individual services or client cancellations are not permitted within six months of the wedding date. Because assistants and artists are booked and scheduled based on your original agreement, any reduction in services will still be charged at the originally agreed rate to cover our team’s costs.

18g. Upgrades and Additional Services
We cannot guarantee the availability of additional services or upgrades after booking confirmation. If you wish to add services or increase numbers, please notify us as early as possible, as this may require schedule changes or additional assistants.

18h. Artist-Initiated Cancellations
We will only cancel your booking due to unforeseen life events such as pregnancy, illness, or a close family or friend’s wedding. In such cases, we will make every effort to provide a suitable replacement artist.

18i. Postponements
Standard cancellation policies apply to any elected postponements falling within the cancellation timeframe.

18j. Postponement Fees and Rebooking Deposits
For postponements up to 18 months ahead, an additional rebooking deposit applies:

  • £30 for makeup-only bookings
  • £60 for makeup & hair bookings
    This deposit is added to your original deposit and is non-transferable and non-refundable. Prices and packages will be adjusted to the current rates at the time of rebooking. Normal cancellation fees as per 18c remain applicable.

18k. Date Changes and Deposit Policy
While deposits are non-transferable, we understand that date changes happen. To retain your previously paid fees and secure your preferred artists, please work closely with us to discuss new dates. Consider off-peak or midweek options due to limited availability.

18l. Artist Availability for Postponements
If your original artist is unavailable on your new date, we will attempt to assign another suitable artist from our team. Normal terms apply, and deposits may be forfeited if we cannot accommodate the change.

18m. Postponements Beyond 18 Months
Postponements moving beyond 18 months from the original date are treated as cancellations and will forfeit any deposits or fees paid. New bookings may be penciled in with a fresh deposit when the diaries open at 18 months.

18n. Unaccommodated Date Changes
If we cannot rebook your wedding date due to prior commitments, this will be considered a client cancellation, and fees will apply accordingly.

19. ILLNESS

19a. Artist Cancellation Due to Illness
If we must cancel your booking due to illness, we will notify you as soon as possible. While we accept no liability for such cancellations, we will make every effort to provide advance notice and secure a suitable replacement artist. Detailed records—including face charts, videos, and photos—are maintained to ensure your look can be accurately recreated.

19b. Refund Policy in Case of No Replacement
If a replacement artist cannot be found and you have already paid the final balance in full, we will refund all monies except the deposit and fees for bridal trials.

20. INSURANCE

20a. Public Liability Insurance
Ruth Hancox & lian Young are insured through Salon Gold and hold public liability insurance. All other Bridal By artists maintain public liability insurance; however, the insurance providers may vary.

20b. PAT Testing
Although PAT testing is not a legal requirement, we regularly have our electrical appliances PAT tested to ensure safety and compliance.

20c. Client Wedding Insurance
We strongly recommend that all clients obtain appropriate wedding insurance to protect themselves. It is your responsibility to secure wedding insurance before booking and paying deposits to your venue and suppliers. Please inform us if you choose not to follow this advice. Wedding insurance offers essential financial protection in case of unforeseen circumstances. Without it, you will remain fully liable for all costs, including cancellations or rearrangements.

20d. Insurance Claims and Supplier Payments
If your wedding is cancelled and you submit a claim to your insurance provider, it is considered fraudulent to seek financial compensation from suppliers or to withhold payments owed. Should we suspect such actions, we reserve the right to report the matter to the relevant authorities.

20e. Support for Insurance Claims
We will make every reasonable effort to support any valid insurance claims you make, subject to the details of the situation.

20f. Agency and Stylist Status
The Bridal By Team Elite operates as an agency representing a team of carefully selected freelance hair stylists and makeup artists. We manage bookings until the deposit is paid. Once booked, stylists operate independently and are not directly employed by Ruth Hancox. Each stylist holds their own insurance coverage.

21 TEAM

21a. Independent Freelance Artists
Each member of our team is an independent freelance artist, running their own business and therefore considered a third party.

21b. Liability for Third-Party Suppliers
We do not accept liability for any third-party suppliers. The performance of these suppliers is outside the control of our artists. While we strive to lead, train, and mentor our team to maintain the highest standards of artistry and service, we cannot be held responsible for any unsatisfactory performance by third-party suppliers. If issues arise, we will do our best to resolve them promptly.

21c. Reporting Complaints
Any complaints must be reported directly to the agency as soon as they occur. Complaints raised after the completion of services cannot be effectively considered or addressed.

22. SUSTENANCE

22a. Refreshments for Extended Bookings
For bookings exceeding four hours, we kindly request the provision of water or soft drinks for the artists.

22b. Food for Evening Extensions
If you have extended your package to include an evening change of look, providing food for each artist during this time would be greatly appreciated.

23. EXCLUSIVITY

23a. Exclusivity Clause
When you book a hair and makeup package with Bridal By, our team must be the exclusive providers of both hair and makeup services for your event. For makeup-only bookings, Bridal By makeup artists must be the exclusive makeup providers. Likewise, for hair-only bookings, Bridal By hair stylists must be the exclusive stylists.

This exclusivity is essential to:

  • Prevent unauthorised use of our work by other artists, bridesmaids, or suppliers, and avoid misattribution of credit.
  • Address spatial limitations and health and safety concerns, as there is insufficient space for multiple artists’ stations and kits.
  • Maintain the high standards of artistry, hygiene, and professionalism set by Bridal By, which may not be consistently met by others.
  • Avoid scheduling conflicts and ensure smooth allocation of service slots.

To ensure a seamless experience, our artists may be supported by assistants or team members working together to create a cohesive look that meets the bride’s specifications.

24. CHILDREN

24a. Adult Supervision
All children receiving services must be accompanied by an adult at all times.

24b. Health and Safety
For health and safety reasons, children must be supervised at all times and are strictly prohibited from touching any kit, equipment, lighting, or tools.

25. PROFESSIONAL STANDARDS

25a. Professional Conduct
Our artists will deliver all services professionally and safely, adhering to industry best practices and relevant regulations.

25b. Equipment Use and Safety
Clients acknowledge that h
andling or interfering with our equipment is strictly prohibited unless explicitly authorised by our artists, due to potential safety risks. Only our artists are permitted to use products, tools, kits, or equipment. The client will be held responsible for any damage caused to our products, tools, kits, equipment, or lighting by unauthorized use.

26. SUBJECTIVITY

26a. Client Feedback
Makeup and hair are subjective experiences. If you are unhappy with your finished look, it is your responsibility to communicate this immediately and allow the artist(s) the opportunity to make adjustments to your satisfaction.

26b. Changes to Requested Style
If you change your mind about the agreed style after it has been completed (for example, requesting an updo to be changed to a half-up style), we will accommodate this if time permits. Please note that additional charges will apply for any extra services.

26c.No refund will be given for services rendered
